This policy explains what personal information PlateBoss collects, why we collect it, who we share it with, how long we keep it and what your rights are. It applies when you visit plateboss.co.uk, order from us online, by phone or WhatsApp, or visit our Hounslow workshop.

1. Who we are

PlateBoss is a trading name of Homee Ltd, a company registered in England and Wales (company number 11852529). Registered office: Freehold Industrial Centre Unit 5, Amberley Way, Hounslow, Middlesex, England, TW4 6BX.

Homee Ltd is the “controller” of your personal information, which means we decide how and why it’s used. If you have any questions about this policy or your information, contact us:

2. The information we collect

Information you give us

  • Contact and order details: your name, billing and delivery address, email address, phone number, the registration number and plate options you order, any notes you add, and your delivery or collection choice.
  • Identity and entitlement documents: as a DVLA Registered Number Plate Supplier we must see proof of your identity and your entitlement to the registration (see section 4). We record the type of documents seen and their reference numbers. If you email us a digital-only document, we keep a copy only for as long as the law requires.
  • Messages: anything you send us by email, phone, WhatsApp, our contact form or in person.
  • Reviews: if you leave a review on our website, your name and review, and the email address you give (which isn’t published).

Information collected automatically

  • Checkout details before you finish your order: if you start checkout and enter your email address, we may save the details you’ve entered so far, so that we can remind you about your basket.
  • Website usage: pages visited, how you arrived at our site (for example a search engine or advert), device and browser type, approximate location and IP address. Some of this is collected using cookies. See our Cookie Policy.
  • Security logs: our website firewall records IP addresses and requests to protect the site from attacks.

Payment information

Card, Apple Pay, Google Pay and Klarna payments are processed by Stripe (and Klarna for Klarna payments). We never see or store your full card number. We receive confirmation of payment, the last four digits and card type, and the fees charged.

3. How we use your information, and our lawful basis

Under UK data protection law we must have a lawful basis for each use of your information.

We don’t use your information for automated decisions that have legal or similarly significant effects on you.

4. Number plate records (DVLA requirement)

As a DVLA Registered Number Plate Supplier, the Vehicles (Crime) Act 2001 and the Vehicles (Crime) Act 2001 (Registration of Number Plate Suppliers) Regulations require us to see your documents and keep a record of each sale, including the registration number, your name and address, and the documents you showed us. We keep these records for three years and must make them available to the DVLA and the police on request. If you don’t provide the documents, we can’t supply road-legal plates.

5. Who we share your information with

We never sell your personal information. We share it only with the following, and only as far as they need it:

  • Payment providers: Stripe (card, Apple Pay and Google Pay payments) and Klarna (if you choose to pay with Klarna).
  • Delivery: Royal Mail, including its Click & Drop service, which receives your name, delivery address and, where needed, your email or phone number for tracking updates.
  • Website and email services: our website hosting provider, our email sending service, WooCommerce and Jetpack (Automattic), Wordfence (website security) and CookieYes (cookie consent).
  • Google: Google Analytics and Google Tag Manager (website analytics), Google Ads (measuring our adverts), Google Maps (the map on our contact page) and Google reviews (if you choose to leave one). Analytics and advertising cookies only run if you accept them.
  • Review display: Trustindex, which shows our Google reviews on our website.
  • WhatsApp (Meta): if you choose to contact us on WhatsApp.
  • Professional advisers: such as our accountants and lawyers.
  • Authorities: the DVLA, the police, HMRC or other bodies where the law requires it.

6. International transfers

Some of the providers above (for example Google, Stripe, Meta and Automattic) may process information outside the UK, including in the United States. Where they do, the transfer is protected by the safeguards UK law requires, such as the UK–US Data Bridge or the UK International Data Transfer Agreement or Addendum.

7. How long we keep your information

  • Number plate sale records (registration, name, address, documents seen): 3 years, as the law requires.
  • Order, payment and accounting records: 6 years from the end of the financial year they relate to, for tax and accounting purposes.
  • Copies of digital-only documents emailed to us: no longer than the 3-year record period, and deleted sooner where we no longer need them.
  • Customer service messages: up to 6 years, in case of complaints or warranty claims.
  • Unfinished checkout details: kept only while needed to send basket reminders and review unfinished orders, and deleted within 12 months.
  • Cookies: see the durations in our Cookie Policy.

After these periods we securely delete or anonymise your information.

8. Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that’s wrong or incomplete;
  • ask us to delete your information (we may have to keep some of it, for example the 3-year number plate record);
  • ask us to restrict how we use your information;
  • object to our using your information based on legitimate interests, including the review request and basket reminder emails;
  • ask us to transfer information you gave us to another organisation;
  • withdraw your consent to cookies at any time, using the cookie settings link on our website.

To use any of these rights, email info@plateboss.co.uk. We’ll reply within one month. There’s normally no charge.

9. Keeping your information safe

Our website uses an encrypted (HTTPS) connection. Access to order records is limited to staff who need it, and paper documents you post to us are returned with your order.

10. Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
